How to Buy

Purchase orders may be mailed, faxed, e-mailed, or placed verbally via telephone. Call toll free 1-800-537-9296, or direct (631) 434-3185 Monday to Friday from 8:00 AM to 4:00 PM Eastern time to place a verbal telephone order. For all verbal phone orders a confirming PO must be faxed or e-mailed prior to shipping. You may also fax your order to (631) 434-3516, or e-mail your order to sales@vetra.com. For e-mail orders you may send us an e-mail and request our email order form, which ensures that we get all the information we require to process your order promptly, or you may simply attach a copy of your PO to your email. You may also make your purchase online using the secure shopping cart system on our website. When purchasing online, both UPS and FEDEX are offered as shipping options and payment options are VISA, MASTERCARD, & AMEX. We also accept POs online for pre-approved customers. Due to the prevalance of credit card fraud in certain parts of the world, we reserve the right to decline payment via credit card for any reason we deem appropriate. In these cases, the customer will be contacted and the option to pre-pay via bank transfer will be offered.
 


Payment Information

State Sales Tax

Do not add sales tax if your shipping address is outside of New York. In New York State add sales tax at the rate assessed for your area. Sales tax rates may vary, depending on your ship to address. When ordering online within New York State, the sales tax for your area is automatically added to your order. If your New York State purchase is tax exempt or for resale you will be required to provide a properly filled out NYS RESALE CERTIFICATE (ST-120). Click here for complete terms and conditions.

Payment Terms
Within the US: New accounts may apply for Net 30 terms by faxing or emailing credit references with their fax numbers (at least 3 credit references, bank and corporate information). Credit checks typically take 3-5 business days. Orders will not ship until credit check is completed. Our Credit Terms are NET 30.

We also accept American Express, MasterCard, VISA, COD (via UPS only), certified checks, company checks (with credit approval), and bank transfers. For bank transfers there is a $30.00 fee per transaction. This will show up as a line item on the proforma invoice provided to you, along with our banking information to facilitate the bank transfer. Orders paid via wire transfer ship after funds are posted to our account. Call our Credit Department at (631) 434-3185 for more information.

Vetra Systems retains the right to decline or revoke NET 30 terms, or payment via credit card, for any reason we deem appropriate.

Shipping

Within the US: A variety of shipping options are available, including UPS, FEDEX, or your choice of courier. Unless otherwise specified, all packages will ship UPS GROUND. Freight costs are based on the shipper used, shipping method, the number of packages, their weight, insured value, and COD fees, if applicable. Shipping costs, unless otherwise specified, are PPA (pre-pay and add) and will be shown on your invoice. If you wish, you can provide your company’s FEDEX or UPS account number and all shipping costs will be billed directly to your account (freight collect). For credit card and bank transfer orders, the order does not ship until the credit card clears, or the funds are posted to our bank account. All orders are F.O.B. ORIGIN shipping directly from our facilities in Hauppauge, New York.

Outside the US: For all shipments outside the US, we prefer to ship using your FED EX, UPS, or a freight forwarder of your choice, so that all shipping costs, customs clearance requirements, as well as any local taxes or duties are billed directly to your account. If you do not have an account with any of the above, or choose not to exercise this option, we can ship your order using our FEDEX (preferred and usually cheapest) or UPS account and pre-quote / bill you for the cost. For bank transfers, this will show up as a line item on the Proforma invoice prior to payment. No orders outside the US will ship until the bank transfer funds are posted to our bank account. RMA, Returns, and Product Evaluation Policy

RMA:
In the event that a Vetra product must be returned to the factory for any reason, please call, fax, or e-mail support@vetra.com Vetra Technical Support for an RMA (Return Merchandise Authorization) number before shipping the unit. This number facilitates the internal tracking of your return, and assures prompt and accurate handling. A Vetra RMA number is valid for 30 days only. The number will be voided if the material is not received within the 30-day period. In the event that a returned product arrives with an invalid or voided RMA number, it will be returned to the shipper at the shipper's expense. Vetra Systems Corporation is not responsible for any material received without a valid RMA number. The RMA number must appear on the outside of the package and the items must be shipped prepaid to:

Vetra cannot accept collect shipments. Collect shipments will be refused and returned to the shipper. We request that our international customers please ship prepaid, door to door, via Postal Express Mail, UPS, Federal Express, or any door to door courier. Vetra has no facilities or arrangements to pick up any material at the airport, and material shipped to the airport for pickup will be returned to the shipper at shipper's expense. Return Policy:
For items to be returned within 10 days or for repair see the Guarantee and Warranty information below. For items to be returned for re-stocking, the following terms and conditions apply:

  • Items must be non-defective, un-opened and in new / re-saleable condition.
  • 30% restocking fee for items returned 11 - 30 days from date of sale.
  • 40% restocking fee for items returned 31 - 60 days from date of sale.
  • 60% restocking fee for items returned 61 - 90 days from date of sale.
  • No return of items over 90 days from date of sale.

Product Evaluation Policy:
Within the US and by request only, we may choose to provide 30-day evaluation units of certain standard products, to some customers or potential customers, in advance of large orders. If a request for an evaluation unit is approved, then the customer must provide us with a purchase order payable with a credit card. At the time of shipment, an invoice will be generated and the credit card will be charged for the full amount including shipping. Evaluation units will be sent with an RMA number and instructions on how to prepare the unit for shipment back to Vetra. If the evaluation unit is returned to Vetra within 30 days of the invoice date, then Vetra will credit the credit card for the full amount of the invoice minus any shipping charges. The evaluation unit must be returned in re-saleable condition. If an evaluation unit comes back to Vetra damaged or missing parts, Vetra will access charges (to be determined when received) and apply them against the credit card.

Guarantee
 Vetra Systems Corporation provides a *10-day money-back guarantee and limited 3-year warranty on all it's standard products. If for any reason you are not completely satisfied with your Vetra product, return it (see RMA instructions) for full credit or money back in the amount equal to the purchased price (minus shipping charges) of the product. Vetra Systems warrants all its products to be free of defects in materials and workmanship and in good working order for the warranty period indicated below, from the initial date of purchase from Vetra Systems Corporation or any authorized dealer. Should a product fail to be in good working order at any time during this three year warranty period, Vetra Systems Corporation will repair or replace the product at our discretion.
